2. What data we process

• Booking form: name, email, WhatsApp/phone (optional), tournament, chosen package, departure city and dates, and any additional information you provide.
• Communications: the data you share with us by email or WhatsApp.
• Booking data: if you hire our service, the data needed to book in your name (for example your full name as it appears on your ID, date of birth or ID details when the airline or hotel requires them).
• Browsing: statistical data about how the site is used, only if you accept analytics cookies.

Please do not send payment card details through the form. Our service is intended for people aged 18 or over.

3. Why we use your data and on what legal basis

• To answer your request and prepare your travel proposal. Legal basis: steps taken at your request before entering into a contract, and your consent when submitting the form.
• To provide the service you hire (bookings, itinerary, changes and support). Legal basis: performance of a contract.
• To meet legal obligations (accounting and tax). Legal basis: legal obligation.
• To measure website usage with statistics. Legal basis: your consent, which you can withdraw at any time from the cookie banner.

4. How long we keep it

Requests that do not lead to a booking are kept for up to 12 months. Customer data is kept for as long as the relationship lasts and then for the legal limitation periods (generally up to 7 years, as required by the Estonian Accounting Act).

5. Who we share it with

• Travel providers (airlines, hotels, restaurants) when we book on your behalf, only as needed for the booking.
• Technology providers acting as data processors: web hosting and email (Raiola Networks, Spain), website statistics (Automattic / Jetpack, USA), web fonts (Google Fonts, USA), request management (Google Sheets / Google Workspace, USA), the automation that records requests (Make, EU) and messaging if you contact us on WhatsApp (WhatsApp / Meta).
• Public authorities where required by law.

Some of these providers are located in the United States. Those transfers rely on the EU-US Data Privacy Framework or on standard contractual clauses approved by the European Commission.

6. Your rights

You can exercise your rights of access, rectification, erasure, objection, restriction of processing and portability, and withdraw your consent at any time, by writing to hola@chipandtrip.eu. If you believe we have not handled your data correctly, you can file a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, www.aki.ee) or with the data protection authority of your country of residence.

7. Security

We apply appropriate technical and organisational measures to protect your data against loss, unauthorised access or misuse.

8. Changes

We may update this policy to reflect legal or service changes. The current version will always be published on this page.
